Purpose

This SOP outlines the steps for scheduling a meeting via the 'We Need to Meet' feature on the fHRm portal and the follow-up actions staff must take to document the meeting.

Steps for Clients:

  1. Locate the 'How can we help you?' section:

    • On the dashboard, find today's section labeled 'How can we help you?'

    • Select the 'Meet' option.

  2. Navigate to the 'We Need to Meet' portal page:

    • Once 'Meet' is selected, clients will be redirected to the dedicated page for scheduling meetings.

  3. Schedule a 30-minute session:

    • Scroll down to find the scheduling option.

    • Choose between 'Anyone Available' or a 'Specific Staff Member' to book a 30-minute meeting.

    • Provide a brief description of the meeting purpose to ensure a productive discussion.

Staff Follow-up Process:

  1. Review the Scheduled Meeting:

    • Check the portal to confirm the scheduled meeting time and assigned staff member.

  2. Conduct the Meeting:

    • The staff member must arrive prepared, having reviewed any provided details about the meeting purpose.

  3. Log the Meeting Notes:

    • After the meeting, the staff member should log into the client's contact card within the portal.

    • Add a detailed note summarizing the key discussion points, decisions made, and any follow-up actions required.

    • Mark the call as 'Completed' and include the date and time of the meeting in the log.

  4. Next Steps for Clients:

    • Inform clients of any follow-up actions or resources needed based on the meeting discussion.

    • Provide clear instructions for any additional steps required.
