Employee Time Off

Purpose

This SOP outlines the steps for scheduling a meeting regarding employee time off through the Need Employee Time Off feature on the fHRm portal.

Steps for Clients:

  1. Locate the 'Employee Time Off' button:

    • On the dashboard, find and click the Employee Time Off button.

    • This will redirect you to the Need Employee Time Off portal page.

  2. Select the type of assistance needed:

    • On the portal page, select the specific issue or topic you need help with related to employee time off.

  3. Schedule a 30-minute session:

    • Choose a 30-minute time slot with a staff member.

    • Fill out all the required information fields, including the purpose of the meeting and any necessary details about the request.

  4. Book and submit the form:

    • After filling out the form, click the Book button to confirm the meeting.

    • Ensure that the form is successfully submitted to complete the scheduling process.

Staff Follow-up Process:

  1. Review the Scheduled Meeting:

    • Check the portal to confirm the scheduled time and assigned staff member.

  2. Conduct the Meeting:

    • The staff member should be prepared to discuss the details of the employee time off request and review any submitted information.

  3. Log the Meeting Notes:

    • After the meeting, log into the client's contact card within the portal.

    • Add notes summarizing the discussion, decisions made, and any follow-up actions required.

    • Mark the meeting as 'Completed' and include the date and time of the meeting in the log.

  4. Next Steps for Clients:

    • Inform clients of any additional steps or documentation needed following the meeting.

    • Provide clear instructions on how to proceed based on the meeting outcomes.
